Office Manager- Treasure Valley Vision Center

Position Summary:

We are seeking a dynamic and detail-oriented Office Manager to oversee the daily operations of our busy optometry office. The ideal candidate will be organized, possess excellent customer service skills, and have a strong understanding of both clinical and administrative aspects of an optometry practice. As we are currently a small operation, this position is multifaceted and requires a candidate who can perform multiple roles including optician duties and pre-testing of patients at times.

Key Responsibilities:

Office Management:

  • Oversee the day-to-day operations of the office, ensuring a smooth workflow and a positive patient experience.

  • Manage patient scheduling, including coordinating appointments, confirming appointments, and managing any scheduling conflicts.

  • Handle patient inquiries, complaints, and concerns in a professional and courteous manner.

  • Supervise and train office staff to ensure efficiency and adherence to office protocols.

  • Maintain a clean, safe, and organized office work environment.

Optician Duties:

  • Assist patients in selecting frames and lenses that best suit their needs, lifestyle, and prescription.

  • Conduct basic fittings of eyeglasses and adjust frames for proper fit and comfort.

  • Explain lens options and coatings, providing recommendations based on patient needs.

  • Educate patients on the care and maintenance of their eyewear.

  • Ensure inventory of eyewear and contact lenses is updated, stocked, and organized.

Pre-Testing:

  • Perform pre-examination tests such as visual acuity, intraocular pressure, retinal imaging, and other diagnostic tests as directed by the optometrist.

  • Prepare patients for examination by obtaining medical history and performing basic screenings.

  • Set up and calibrate diagnostic equipment for optometrists.

  • Assist the optometrist with diagnostic equipment as necessary during patient exams.

Billing & Coding:

  • Perform accurate medical billing and coding for insurance claims and patient payments.

  • Verify patient insurance benefits, ensuring that services provided are covered.

  • Submit insurance claims electronically and follow up on unpaid claims.

  • Track and reconcile patient payments and insurance reimbursements.

  • Maintain up-to-date knowledge of ICD-10, CPT, and other relevant coding and billing procedures.

  • Ensure that all patient records and financial transactions are accurately maintained and compliant with privacy laws.

Qualifications:

  • High school diploma or equivalent required; associate’s degree or certification in medical office management preferred.

  • Minimum of 2 years’ experience in an optometry office or medical office environment, with a background in both clinical and administrative tasks.

  • Strong understanding of medical billing and coding procedures (ICD-10, CPT).

  • Proficiency in office software and medical management software (e.g., EHR systems).

  • Ability to multitask and prioritize office needs.

  • Exceptional interpersonal skills and a strong commitment to excellent patient care.

  • Detail-oriented, with excellent organizational and communication skills.
